MWI - Alternate Extension

happyatuni

Dear NetPro gurus,

My clients have created a dedicated voicemail box for the team at x5000.  My client's team extensions are as follows:-

User A

Phone extn - x1001

User B

Phone extn - x1002

User C

Phone extn - x1003

Now, since each user only has their own user's extension, when someone left a voicemail to mailbox x5000, is there a way where we can configured so that all 3 team members know that there is a message at dedicated mailbox x5000?

Would appreciated if someone can shed some light on this.

Cheers,

Hunt

Hi Hunt,

+5 to Chris I agree that these are very confusing when your RED lamp is lit and you

don't know which mailbox to check. But it does work.

For Unity Connection;

Message Waiting Indicators

Cisco  Unity Connection can set message waiting indicators (MWIs) at up to 10  extensions for a user when new voice messages arrive.

When a user account is added, Connection automatically enables the MWI at the primary extension for the user.

You  can change MWI settings, and add or delete MWI extensions in Cisco  Unity Connection Administration on the Message Waiting Indicators page  for a user.

To Add MWIs for Other Extensions

Step 1 In Cisco Unity Connection Administration, find the user for whom you want to add another MWI.

Step 2 On the Edit menu, click Message Waiting Indicators.

Step 3 On the Message Waiting Indicators page, click Add New.

Step 4 On the New Message Waiting Indicator page, check the Enabled check box.

Step 5 In the Display Name field, enter a description for the MWI.

Step  6 Optionally, check the Inherit User's Extension check box to use the  primary extension for the user as the extension on which the message  waiting indicator (MWI) appears.

Step 7 In the Extension field, enter the extension for the MWI. When entering characters, consider the following:

•Enter digits 0 through 9. Do not use spaces, dashes, or parentheses.

•Enter , (comma) to insert a one-second pause.

•Enter # and * to correspond to the # and * keys on the phone.

Step 8 In the Phone System field, click the name of the phone system that the extension is assigned to.

Step 9 Click Save.

Step 10 Repeat Step 2 through Step 9 as necessary.

Hello Hunt,

If I understand your request correctly:

"Now, since each user only has their own user's extension, when someone left a voicemail to mailbox x5000,

is there a way where we can configured so that all 3 team members know that there is a message at dedicated

mailbox x5000?"

Points:

  1. Users has their own extensions not their own mailbox according to your question.
  2. When there is a voicemail, you want all the users to be notified.

Answer:

Since Ext. 5000 is the group mailbox number, all you need to configure is an Alternate Ext. to x5000 with a 'Notification Device' to send out an email when there is a voicemail.

Config:

Firstly: Create a group email address in exchange-server or any mail-server you are using and add all the users to this mail group (e.g. group@hunt.com).

In CUC, create ext. 1001, 1002 & 1003 as an 'Alternate Extension' respectively (Note, you can only have up to 9-Alternate Ext.) and this is done from User(x5000)---Edit---Alternate Extensions---Add New (the phone type does not matter, just pick any from work phone to work fax).

Secondly: Remember the group mail address (qroup@hunt.com) ? This is where we will use it as a 'Notification Device'.

Still on the user (x5000) page; Edit---Notification Devices. What you need here is the 'SMTP'

Click on the SMTP, Click on the radio button to enable it and then type in the group mail address in the 'TO' under the 'SMTP Settings'.

(Message Text: YOU HAVE A VOICEMAIL ON Ext. 5000)

*Any voicemail left on x5000, notification email will be sent to the group@hunt.com and all the member should get the email.

Lastly: CConfigure the Message Waiting Indicator (MWI) as mentioned by Ruff.Huffman.

Hope this helps and if you have further question hala!

Cheers.

Ideally you would want to put x5000 as second line appearance on all 3 phones, this way the can see when there is a message waiting for that line and any of them can retrieve it.

If you do not have the buttons, then yes you can add these DNs as alternate MWIs in Unity, Unity Connection, however they will be confused if the message waiting indicator is for their own mailbox or the general mailbox.

HTH,

Chris

Create a partion for voicemail so when you create this second line it is designated to voicemail

Larry,

Can you elaborate? Why would you need to create a parition?

The second 5000 should be in common phone parition, no reason to add another parition here.
